Making a maintenance request

Our commitment at Silver Bay is to ensure that you are always provided with excellent service and care. Occasionally you will need to contact us with a maintenance problem or repair request. Our Service Department is conveniently open 24/7. The most efficient way to submit your request is to follow the steps below:

Process of a Maintenance Request:
  • Submit your service request by calling (844) 427-2792 or by using the Resident Portal.
  • Watch for a call from the service provider assigned to you with instructions to complete your repair.
  • The repair contractor or service provider will contact you to set up an appointment. You must respond promptly. If the contractor or service provider is unable to contact you after 3 attempts, your service request will be canceled.
  • Please plan to be home during the entire scheduled service request. You may be charged if you are not available when the contractor or service provider attempts to make your repair or you cancel less than 24 hours in advance.
  • Upon completing service the contractor or service provider will explain your repair and ask you to sign the completed service request form. The form will be returned to Silver Bay and will be marked “Complete”.

What is a Maintenance Emergency?

A maintenance emergency is defined as a total loss of heat/AC when outside air temperature is less than 50 or more than 80 degrees, loss of water, water/plumbing emergency, electrical emergency, and an unsecured property due to an attempted break-in. For after-hours emergency maintenance requests, please call (844) 427-2792. Our offices are closed evenings and weekends. Emergency requests entered online will not be received until the following business day.

Prior to contacting us please attempt to troubleshoot based on the subjects below. If a vendor is dispatched and we find that one of the troubleshooting options would have corrected the problem, you will be charged for the service call.

Check to make sure the batteries don’t need to be replaced. If the alarm continues to beep, leave the home right away. Seek medical attention if any symptoms are present, such as: headache, weakness, dizziness, nausea or vomiting, shortness of breath, or confusion.

Check to see if device needs the batteries replaced (A clogged AC drain line can also cause this if your HVAC system has a float switch installed.).

Clean food out of the bottom of the dishwasher. Be sure to rinse dishes before putting in the dishwasher; use a rinse agent to help prevent hard water buildup. Run garbage disposal prior to running dishwasher.
Try using a liquid drain cleaner, or plunging the drain to release any build up.
Turn off water to fixture under sink or toilet at valve and request service.
Do not use the shut off valves to turn off the water if you have frozen pipes. Instead, turn your faucet on to a slow drip, this will decrease the chances of burst water lines. Open cabinet doors to allow heat to access the cabinet. More heat helps keep the lines warmer.
When mowing, try not to remove more than 1/3 of the grass. Do not cut grass during the hottest part of the day. Keep grass longer in hotter months to shade the roots.
Water grass in the early morning when the heat is the lowest or on cloudy days for less evaporation. Timers can be a helpful tool if the home does not have an irrigation system.
Turn off the main water valve that controls the pipes that are leaking. If the main water valve that controls all the water in the home is used to stop the leak, call for service immediately.
To clear a jammed disposal, first press the Reset button found on the bottom of the unit. If it has reset, the button will be popped out. If that does not work, check to see if the circuit breaker has tripped and turned off in the electrical service panel. Reminder: Don't ever put your hand down into the garbage disposal hopper (grinding chamber). Take the offset wrench that came with the disposal unit and insert the wrench into the flywheel turning hole in the bottom of the unit. If it's leaking, place a bucket under it and contact us for service.
Appliance repairs are only made during normal business hours and are not considered an emergency. If your refrigerator is not working after troubleshooting, we recommend using dry ice or coolers until it is repaired.
Check the thermostat on the tank and turn it down. If the water still seems too hot and/or the water heater still appears to be malfunctioning, place a request for service.

Check the breakers, and make sure you've changed the air filters. To test if the current room temperature. Incremental changes in temperature gives the unit time to operate effectively without overloading the system. Check to see if the fan on the outside unit is running. If the fan on the outside unit is not running, either check to make sure that the breakers for the furnace/air handler and the unit are on. If they are on, you may contact us for service. Each room throughout the home can vary +/- 3 to 5 degrees in temperature and is considered normal operation.

How To Turn Off A Leaking Water Heater

Electric: Turn off the breaker to the unit, open the panel on side of unit and press resent button, then flip breaker back on. If the unit resets, you will be able to hear it turn back on. Water should take approximately 45 minutes to heat. Request service if unit doesn’t reset.

Gas: Check to make sure the pilot light is lit. If not, call gas company for assistance. Do NOT attempt to light the pilot light yourself.

Check the breaker panel or fuse box; check and reset GFI outlet; check if outlet corresponds with a wall switch. Eliminate the number of devices plugged in so you don’t overload the circuit.

Your first line of defense is to eliminate sources of food and water inside the house that might attract pests. This means cleaning up spills immediately and cleaning up debris around trash, under the stove and refrigerator, and in furniture. Continually check for leaks and condensation that might attract pests.

If a power outage occurs check your breaker panel to see if breakers are tripped in the affected area. If your entire home is without power, check with your local utility provider to see if your area has an outage or a repair that requires your block to be serviced. If neighboring homes have power and you still do not, place a request for service.
If a roof leak occurs, contact us for service. Contain water by using buckets or towels. Move personal belongings away from the leak.
Make sure the door is closed; check the thermostat and set correctly; clean the front and back grills; clean out the drain hole.
